Data related to trade union membership is sensitive data.
In this statement you can read who we are in light of the GDPR, which data we need and why (fulfilling our core tasks as your trade union!); what we do with it, how and for how long we keep your data and what your rights are.
This explanation applies to all services that EU.Pol provides to its members.
- Who are we?
The Free Syndicate of the Public Service (EU.Pol) is the public sector of the General Central of the Liberal Trade Unions of Belgium – ACLVB.
The EU.Pol operates as a trade union at national and international level and defends the interests of all categories of personnel in government service, including candidate employees and retirees – chapter 2 EU.Pol statutes.
The registered office is at the General Secretariat of the EU.Pol.
The EU.Pol has eleven professional groups. The EU.Pol works in accordance with various trade union statutes: laws and decrees regulate the relations between the government and its trade unions, with special trade union statutes for the police, defence, the judiciary, government companies, and state security.
EU.Pol werkt met volgende vzw’s relevant in het kader van de GDPR:
- Labor and Merit pays the union contributions
- Center for Framework Training guarantees reimbursement of costs for training.
Controller : the general chairman of the EU.Pol, also chairman of the non-profit associations of the EU.Pol, is controller within the framework of the European Regulation “GDPR”.

By mere membership, the members undertake to respect the statutes and regulations of the EU.Pol. This membership counts as an agreement in light of the GDPR, for the performance of all our core tasks described below. There is only a legal ground for the trade union premium, the trade union training and the audit representativeness, described under ‘who are we’ above.
The retention period of your data is further described. There is a statutory retention period for the trade union premium, the trade union training and the audit representativeness.
EU.Pol processes personal data of its members for the realization of these purposes.Among others for:
- provision of information to our members in the context of the objectives and foundations of the EU.Pol (see above), among other things about our structure and functioning, our positions on sensitive topics that the government tackles such as pensions and all other related matters, including in the following way :
- EU.Pol periodical magazine Argument and other newsletters from your profession
- website (general and of the professional groups) with or without a specific login for delegates
- social media
- via individual or collective e-mails, text messages with ad hoc answers to questions, with reports on negotiations and consultation meetings
- seminars, information meetings, training courses, …
- personal interview in individual filesThis list is not exhaustive.
The EU.Pol’s general provision of information is only a first step.
- assistance to members in the broadest sense of the word
- answer simple individual information questions, possibly via online services
- complex individual assistance with lawyer or other internal or external specialists in internal administrative procedures (disciplinary, evaluation, etc.), all other disputes, in lawsuits and cancellation or suspension requests to the Council of State.

- trade union premium (vzw Arbeid en Verdienste – see statutory retention period)
- union training vzw CKV (see legal retention period)
- other benefits on the occasion of events (birth or adoption premium, fidelity premium, premium upon marriage/cohabitation, etc.)

All personal data is managed in EU.Pol’s databases. This data can be passed on within the entities belonging to EU.Pol (point Who are we?). They are only accessible to those persons.
